Information on data protection pursuant to Article 13 GDPR for participation in the event “Climate-neutral and climate-resilient cities and universities in Europe”

Purpose for data processing
The data processing serves the organisation and implementation of the event ‘Climate-neutral and climate-resilient cities and universities in Europe’ on 2 and 3 December 2024.
Legal grounds for data processing
The legal basis for the processing of your personal data as part of the event registration is consent in accordance with Art. 6 para. 1 lit. a) GDPR. The legal basis for the data processing of the optional information is consent in accordance with Art. 6 para. 1 lit. a) GDPR.
Obligation to provide personal data
You are not obliged to provide such information, but participation in the event is only possible if you provide us with the required data, which is referred to as mandatory information.
Revoking consent
You may revoke consent to the processing of optional data and the inclusion of your data in the list of participants at any time with effect for the future (Article 6 (1) (a) GDPR). In this case, we will no longer process this data and shall erase it. Lawful processing of data up until revocation of consent shall remain unaffected. Revocation is possible by informally contacting the data controller via the above-mentioned contact details. If consent is revoked, participation in the event will no longer be possible from that point in time.
Storage period
We process your data for as long as is necessary for planning and hosting the event or due to applicable legal provisions such as the obligation to retain invoice documents. Should you wish your data to be erased, we will erase your data immediately, unless there are legal obligations to retain it.

Your rights

- Right to rectification and completion
- Right to erasure
- Right to restrict processing
- Right to data transfer / right to receive a copy
Right to revocation
You also have the right to object to data processing at any time. We will then no longer process your data unless legitimate grounds exist to continue or where processing serves to assert, exercise or defend legal claims.
Should you exercise any of the above-mentioned rights, the data controller shall assess whether the legal requirements are met.
Right of appeal
You also have the right to register a complaint with the supervisory authority if you believe that the processing of your personal data does not comply with the legal provisions.
